The challenge

Elite Care Services needed more than a website.

Its host home program required a public-facing website where prospective providers could understand the program and apply, while staff needed a secure workspace to review applications, manage documents, respond to inquiries, maintain website content, and produce official correspondence. The existing process could easily become fragmented across forms, email attachments, documents, and administrative tools. ECS needed one place where the public-facing experience and the operational workflow could work together.

The solution

Praneo Tech built ECS Portfolio, a web platform combining the organization's public website with a private staff workspace. Prospective host home providers can complete an application without creating an account. The application supports individual or paired providers and collects information about the applicants, household, home, employment, education, certifications, references, vehicles, and supporting documentation. Behind the public website, staff have a dedicated workspace for managing applications, inquiries, files, website content, users, letterheads, and official correspondence. The result is a single operational system rather than a website connected to a collection of disconnected administrative processes.

A complete provider application

The application was designed around the information staff actually need to evaluate a host home.
Applicants can provide:

  • Personal and contact information

  • Household members, children, and pets

  • Home and accessibility information

  • Employment and education history

  • Certifications and professional licenses

  • Identity and supporting documents

  • References and recommendation letters

  • Vehicle and safety information

  • Home insurance documentation

  • Availability for respite care

Supporting files can be submitted alongside the relevant information, keeping the application together from submission through review. Applications are then organized by status so staff can work through a clear review queue instead of managing submissions across email threads and separate documents.

A workspace for staff

The private workspace brings the program's day-to-day administrative work together.

Staff can:

  • Review and manage provider applications

  • Track application status

  • Review references and supporting documents

  • Manage contact inquiries

  • Organize uploaded files

  • Update public website content

  • Manage users and program settings

  • Maintain organizational letterheads

  • Create and distribute official correspondence

Website content can be updated by authorized staff without requiring a developer for ordinary changes.

Correspondence built into the workflow

Official letters were treated as part of the operational workflow rather than a separate task. Administrators can select an organizational letterhead, compose a letter, preview the result, and generate a print-ready PDF or email it directly. The system also accounts for physical-page constraints while a letter is being written, helping staff produce correspondence that is ready for practical use.

Designed around two audiences

One of the key product decisions was to treat the public website and internal workspace as parts of the same experience. For applicants, the system provides a straightforward way to understand the program and submit a complete application. For staff, it provides the tools needed to review submissions, manage information, update the website, and communicate with applicants. The two experiences remain distinct, while working together as one platform.

The outcome

ECS Portfolio transformed a traditionally fragmented process into a centralized digital workflow.

For applicants:

  • A clearer application experience

  • One place to submit information and supporting documents

  • No unnecessary account creation

For staff:

  • Centralized applications and files

  • Clear application statuses and review queues

  • Easier reference and document management

  • Self-service website content management

  • Built-in organizational correspondence

For the organization:

  • A website that also functions as an operational tool

  • Less dependence on disconnected administrative processes

  • A platform that can evolve with the program

More than a website

ECS Portfolio demonstrates how a service organization's website can become part of the operation itself. Instead of building a public website and leaving the organization's internal processes somewhere else, Praneo Tech built the public experience and the operational workspace around the same business workflow.
The result is not simply a website for Elite Care Services. It is a digital system for running an important part of the program.
